The Opportunity: Procurement Coordinator
Waterfront Toronto is seeking a Procurement Coordinator to coordinate the Vendor of Record program, prepare various reports and analyses, and support the Procurement team by performing a range of responsibilities related to procurement and contracting activities, including tasks within ERP financial system’s procurement modules.
Key Responsibilities:
- Manage Waterfront Toronto’s Vendor of Record (VOR) and blanket order programs, including leading all aspects of the procurement process—from initial documentation preparation to contract approval, award, and negotiation—in accordance with public procurement best practices and guidelines, consistent with the Waterfront Toronto Procurement Policy and Broader Public Sector Procurement Directive.
- Manage the process of engaging companies under government partners’ VOR programs, including liaising with government partner counterparts, and overseeing Waterfront Toronto’s process for development, review, approval, and execution of the necessary agreements.
- Manage and coordinate the process for low-value purchases by processing Purchase Requisitions that do not require an open competitive process, including reviewing supporting documentation, ensuring correct system set up, and taking necessary steps to ensure compliance with procurement rules.
- Lead the procurement process for less complex competitive procurements This includes developing procurement documents (e.g. RFP, RFQ, evaluation materials), issuing RFx documents through the bidding system, coordinating the Q&A process, evaluating submissions, and preparing documentation for contract award approval–all in accordance with public procurement rules and Waterfront Toronto procurement policies and practices.
- Prepare, analyze, and submit regular and ad-hoc procurement and contracting activity reports for approval.
- Undertake a range of responsibilities related to the ERP financial system (D365) procurement module, as assigned.
- Provide support to the procurement team and management on various procurement-related assignments.
Skills and Qualifications:
- Minimum 3 years of work experience in public procurement.
- Strong knowledge of procurement principles and practices within the public sector.
- Demonstrated experience in contracting and contract management, particularly related to public works.
- Ability to analyze and interpret complex information, including the interconnectivity of projects, financial systems, processes, and policies.
- Demonstrated ability to communicate clearly and effectively with both internal and external stakeholders.
- A high level of attention to detail is critical to success in this role.

Other Considerations:
During this time, Waterfront Toronto is operating in a hybrid work environment with employees currently required to work in the office three days a week, for collaboration and engagement purposes. Employees have the option to work remotely for the remainder of the week. This is subject to change by the Corporation.
